Project Overview
Coverage Scheduler is a custom web application built to help medical practices manage provider coverage, facility schedules, regional assignments, and automated schedule distribution in one centralized system. The app is designed for healthcare scheduling teams that need a reliable way to organize weekly coverage across multiple facilities, regions, providers, and specialties.
The system allows administrators and schedulers to create and manage regions, facilities, providers, specialties, users, PTO entries, schedule templates, and weekly assignments. Regions can be organized into parent and child structures, such as Maine or New York as parent regions with individual scheduling regions underneath. Facilities and providers are then assigned to active scheduling regions, making it easier to generate and manage coverage by location.
One of the core features of the app is the weekly schedule builder. Schedulers can generate weekly schedules from recurring templates, manually add or edit assignments, track coverage gaps, and review schedule status before sending. The app supports both provider-facing and facility-facing schedule views, helping each audience see the information that is relevant to them.
The platform also includes PTO and availability tracking, allowing approved time off to be factored into scheduling and displayed where appropriate. Coverage validation helps identify missing assignments, conflicts, and providers assigned outside their usual regions, giving schedulers better visibility before schedules are finalized.
For communication, the app supports manual and automatic email distribution. Facility schedules and regional provider schedules can be sent as PDF or Excel attachments, with configurable recipient lists, auto-send days, send times, and approval requirements. The app also keeps send logs, audit logs, and schedule version history so changes can be tracked over time.
Built with Flask and SQLite, the application includes role-based access for admins, schedulers, leadership users, and providers. It also includes authentication, password reset functionality, dashboard views, export tools, and administrative management screens.
Overall, Coverage Scheduler was built to simplify complex healthcare coverage coordination, reduce manual scheduling work, improve visibility across regions and facilities, and make schedule delivery more consistent and auditable.
